Refund & Cancellation Policy

This policy describes how cancellations and refund reviews are handled for LynxHubs service engagements. Specific terms may be set out in an engagement scope.

1) Scope of this policy

This policy applies to paid service engagements for documentation support (for example, pack setup, review notes, closing sets) when an engagement scope is agreed. Website browsing and initial inquiries are not billed by default.

If an engagement scope or written agreement includes different terms, those terms may apply to that engagement.

2) Cancellations before work starts

If you cancel before work starts, we will review whether any administrative setup has already been completed. If no work has started, a cancellation may be handled with minimal or no charge, depending on the engagement setup.

  • Notify us as soon as possible via email
  • Include the engagement reference or subject line used
  • State that you are requesting a cancellation
3) Cancellations after work starts

If you cancel after work has started, the engagement may include work already performed (drafts, revision summaries, pack indexing). In such cases, we review the scope and progress and assess charges based on work completed.

Because documentation work is often incremental and time-based, a full refund is usually not practical once substantial work has been delivered.

4) Digital deliverables and exceptions

Most LynxHubs deliverables are digital (documents, notes, structured packs). Once deliverables are provided, a refund review considers:

  • Whether deliverables were provided as described in scope
  • Whether issues can be corrected through revisions within scope
  • Whether the request relates to third-party decisions or counterparty actions outside our control

This Website does not promise outcomes for any transaction; deliverables are scoped and documented.

5) How to request a refund review

To request a refund review, email us with the subject line “Refund review request” and include:

  • Your name and the email used for communication
  • Engagement reference, invoice reference, or scope title
  • A short description of the issue
  • What you are requesting (for example, a correction round or a partial refund review)

We will review the request and respond with next steps. Where corrections are possible within scope, that may be the quickest path.

6) Time window for requests

Please submit refund review requests promptly after the relevant deliverable or engagement milestone. If a long period passes, it may be harder to verify details or reproduce the context.

If you are unsure, contact us and we will explain what information is needed for a review.

7) Disputes

If an issue cannot be resolved through a normal review, we will aim to clarify scope and deliverables in writing. Any formal dispute processes (if required) would follow applicable Japanese law and any engagement-specific terms.

8) Changes to this policy

We may update this policy to reflect operational changes. The effective date indicates the current version.
